Workspaces
A workspace is the shared space where your collections, requests and environments live. Everyone who is a member of a workspace works on the same requests. You manage workspaces under Account → Workspaces. The account pages are inside the app today and will move to collapy.com later.
Personal and shared workspaces
When you sign up, Collapy creates a personal organization for you with one workspace called Personal. At first you're its only member, so it's a good place for your own experiments.
Any other workspace you create is a shared workspace. You decide who joins it. In practice the only difference is who's a member: the Personal workspace works exactly like any other workspace, and you can add members to it too.
Every workspace belongs to one organization. The workspace list and the workspace switcher only show workspaces of the organization that's currently selected in the top bar. Everyone in an organization can see that a workspace exists. Only the workspace's members can see what's inside it.
Switch workspaces
- Click the workspace indicator in the top bar. It shows the current workspace's name, or Select Workspace if none is open.
- Pick a workspace from the list. The current workspace has a check mark.
Collapy opens the workspace and confirms with "Switched to …". To see workspaces from another organization, switch the organization first (see Organizations).
At the bottom of the same menu, Manage Workspaces opens Account → Workspaces.
Create a workspace
- Open Account → Workspaces and click Create Workspace.
- Check the Organization: line at the top. The new workspace is created in the organization that's currently selected.
- Under Workspace Type, leave API selected.
- Under Mode, choose Manual. You add requests yourself, or import them from Postman or OpenAPI.
- Enter a Workspace Title (3 to 50 characters) and, if you like, a Description (Optional) (up to 200 characters).
- Click Create.
You become the workspace's Owner and its only member. Other people in the organization aren't added automatically. Add them in the Members section (see Manage workspace members).
The other Mode, Synced, re-imports the workspace's requests from an OpenAPI URL whenever you click Sync now or your CI calls the workspace's webhook URL. It's available on the Ultra plan. You can't change a workspace's mode after you create it.
Workspace limit
Every workspace in an organization counts toward the plan's workspace limit, including Personal. See Plans and limits for each plan's limit.
Edit a workspace
- Open Account → Workspaces and click the workspace.
- Change what you need:
- Title: click the name at the top and type a new one.
- Auth tab: the workspace's default authentication (see below).
- Info tab: the Description (Optional). Details shows the workspace's organization and ID.
- Click Save. The button turns on only when there are unsaved changes.
You need the Admin or Owner role in the workspace to save changes. A workspace stays in the organization it was created in. You can't move it to another one.
Default authentication
The Auth tab sets the workspace's default authentication: No Auth, Basic Auth, Bearer Token or API Key. It sits at the top of the inheritance chain. A request set to Inherit Auth from Parent uses its collection's auth. If no collection above it sets any, it uses the workspace's. For details, see Authentication.
New collections block the workspace's auth
New collections start with No Auth, which stops inheritance, so their requests don't get the workspace's auth. To use it, open the collection and switch its Auth to Inherit Auth from Parent. See Authentication.
Manage workspace members
Workspace members are listed in the Members section at the bottom of the Info tab, with their name, email and role.
- Add someone: click Add Member, pick a person under Select Member, choose a Role (Editor, Admin or Owner) and click Add. You can only add active members of the organization. Disabled members aren't listed. To bring in someone new, an organization Owner invites them to the organization first and can add them to workspaces in the same step.
- Change a role: click Change role (the pencil icon) next to the member, pick the new role and click Apply.
- Remove someone: click Remove member next to them and confirm with Remove. Owners have no remove button.
Only an Owner of the workspace can add members, change roles or remove members. For what each role allows, see Members and roles.
Organization Owners can also manage one person's access to all workspaces at once under Account → Members (see Workspace access). Disabling or removing a member there takes them out of every workspace in the organization.
Duplicate a workspace
- Open the workspace under Account → Workspaces.
- Click the ⋮ menu at the top right and choose Duplicate.
Collapy creates a new workspace called "Title (Copy)" in the current organization, with the same description. Only the name and description are copied. The duplicate starts empty: no collections, requests, environments, default auth or other members. It counts toward your workspace limit.
Delete a workspace
- Open the workspace under Account → Workspaces.
- Click the ⋮ menu and choose Delete.
- Confirm with Delete.
Only an Owner of the workspace can delete it. Deleting it can't be undone.
FAQ
Why can't I create another workspace?
Your organization has reached its plan's workspace limit. Every workspace counts, including Personal. See Plans and limits for each plan's limit. Delete a workspace you no longer need, use another organization, or move to a paid plan. See Usage and quotas.
I can see a workspace in the list but it's empty. Why?
Everyone in an organization sees all of its workspaces, but only members of a workspace see its contents. Ask a workspace Owner to add you.
Can I turn a Manual workspace into a Synced one later?
No. You choose the mode when you create the workspace, and it can't be changed afterwards.
